Cold holding rules behind every freezer trailer rental in Clark County

The rules that apply

Washington sets the number you are held to. WAC 246-215-03525 requires food that needs time and temperature control to be kept at 41 degrees or less. Hot holding is 135 degrees or above, with a lower allowance for certain roasts. Raw shell eggs get their own line at 45 degrees or less. The same chapter tells you to keep enough cooling and holding capacity for what you actually serve under WAC 246-215-04300, and to keep the refrigeration in good repair under WAC 246-215-04500. A rented box is how most people close that gap without buying a walk-in they need for three weeks a year.

Temporary events stack a second layer on top. Clark County Public Health wants notice on any food served to the public, and the application has to be in at least 14 days ahead or you pay a late fee. An event running three or more days in a row needs a three compartment sink, and samples can only sit out for 30 minutes before the rest gets tossed. One date belongs on your calendar. Starting January 1, 2026, an establishment that lets its annual health permit lapse in Clark County faces closure plus extra fees on top of it. Short answer, as long as you need it. Some of our Clark County rentals are three day event holds and some have sat on the same pad for over a year. A long deployment goes on a service schedule the day it lands, so nobody has to remember to call us for a check. If you already know the job runs past a month, say so on the first call and we will pick a unit we can leave with you rather than one we need back for fair week.

Do you charge more for a Battle Ground or Ridgefield delivery than one inside Vancouver?

Distance moves a quote. It is rarely the biggest thing that does. Size matters more. So does how long you keep it, and whether you need our generator. Whether we can get a tractor to your slab in one pass matters too, because a drop that takes two trucks costs more to run. We would rather hear the whole picture on the first call and quote it once than surprise you later.

Will one trailer hold frozen and refrigerated product at the same time?

No, and anybody who tells you otherwise is selling you a problem. One box holds one set point. What we see most around here is a caterer holding proteins frozen and produce at cooler temperature during the same event week, and the clean answer is a KF8 on freeze next to a KF12 on cooler. Can you deliver to a downtown Vancouver alley, and what does my site have to be ready for?

Usually yes, with the right size. Old buildings around Esther Short and Uptown Village have alley access that a 16 foot box cannot make, so we send the KF8 or the KF12 to those addresses. Your site needs a reasonably level spot with room for the tractor to back and swing. Power is the other half. Either a dedicated 120 volt, 20 amp circuit within 100 feet or a place for our generator. Is there a busy season here, and how far ahead should I reserve?

August is the crunch. The Clark County Fair runs ten days from the sixth through the fifteenth, and Camas Days and Harvest Days land in the same stretch of summer. Then September and October bring crush at the Battle Ground wineries and the start of hunting season. If your date sits in either window, book six to eight weeks out. Everything else in the year we can usually handle on short notice, including same day for an emergency.

Where does the power come from if my site has no outlet?

From our generator, which rides out on the same truck. A dedicated 120 volt, 20 amp circuit within 100 feet of the trailer will run any unit we own, and most storefronts already have one. Bare pads at the port and new construction along the waterfront almost never do. We ask about power on the first call because it changes what we load, not because we are filling out a form.

What do you do about cleaning between rentals, and is the box safe for food contact?

Every unit gets washed out and sanitized before it leaves the yard. The interiors are smooth surfaces built to be cleaned. No painted wood you cannot get into. If you are holding open product rather than sealed cases, tell us, because that changes how we prep it. We will also leave you a thermometer readout you can log against. Clark County inspectors want to see that log, not your word for it.

When something goes wrong with the unit, how fast do you swap it out?

You call the yard rather than a call center, and we come out. Most problems on site turn out to be power rather than the trailer, so the first thing we check is the circuit and the cord. If the unit itself is the problem we bring a replacement and move your product once, in one trip, with our crew doing the lifting. That is one reason we own our fleet instead of brokers it. A broker cannot promise you a spare box on a Sunday in August.

Which size fits a small Battle Ground winery through crush?

For three wineries' worth of scale, the KF12 at about 416 cubic feet is the usual answer. It takes a real bin count at cooler temperature and still fits on a crush pad without eating your working room. If you are only buying yourself overnight protection for a single pick, the KF8 does it. Call us in July rather than the week the fruit comes in, because that is when the pool is deepest.

Are your trailers a fit for a funeral home hold, and what do you need from us on site?

Yes, and we handle those jobs differently from food work. The unit goes out dedicated, at its own set point, with nothing else sharing it. We need a placement out of public view on level ground. Then either the circuit or room for our generator. Most Vancouver homes put us at the back of the lot near the service door. We bring a ramp every time so the transfer is level.

Why do so many Clark County jobs end up needing a generator?

Because a lot of our work here lands on ground that has no building on it yet. Port parcels and demolition sites in Camas. Festival turf at a city park. New pads along the waterfront. How to size a cold storage trailer rental for a Clark County job

Sizing a rental comes down to two questions, and neither one is how much room you have in the yard. First, how much product has to stay in range. Second, how often somebody opens the door. A box holding ten pallets that gets opened twice a day behaves nothing like the same box on a fair vendor row where the door swings every four minutes.

Start with pallets, because that is the unit everything else converts into. A standard 48 by 40 pallet eats roughly 13 square feet of floor once you leave yourself room to walk around it. The KF8 at about 268 cubic feet suits three or four pallets stacked low, or the contents of a small restaurant walk-in. The KF12 at about 416 is the common answer for a mid size hold. The KF16 near 564 cubic feet is the dock unit, and it is what we send when somebody is emptying a grocery cooler.

What to ask a cold storage rental company before you sign anything

Cold rentals look interchangeable on a search results page. They are not. The differences that bite you show up on day six rather than day one. Most of them are answerable in a five minute phone call if you know what to ask.

Ask who owns the trailer. Plenty of companies quoting you cold storage do not own a single unit. They take your job and place it with whoever has something free, which is fine until the unit fails on a Sunday and the company you paid has to find somebody else's spare. Our fleet is ours, and the crew that services it works for us. Ask the question plainly and listen to how long the answer takes.

A checklist for taking your walk-in offline without losing product

Coil replacements and compressor swaps have the same shape. So does a full cooler rebuild. The room has to come offline and the product cannot. That gap is where money disappears. Here is the sequence that works, in the order we have watched it work on a few hundred jobs.

Start by counting what is actually in the room, not what you think is in there. Most kitchens carry more than the manager guesses, and the back corner of a walk-in is where forgotten cases live. Pull everything forward and count it two weeks before the work, because that count sets the trailer size and the trailer size sets the delivery date.
